The role

Facilities Coordinators run the day-to-day operation of a building from the FM help desk. The role covers ticket triage, dispatching the right engineer or supplier, contractor access management, planned-maintenance schedule tracking, supplier paperwork (RAMS, permits, insurance), and acting as the building's central point of contact for everything that is not already running smoothly. The role is part coordinator, part liaison, part organiser.

Who it suits

The role suits organised workers who are composed under a steady stream of small problems and capable of keeping multiple tickets moving without losing any. It is well-suited to FM administrators stepping up, and to those moving in from PA, EA, or office management backgrounds who want a more building-focused role.

A typical shift

Eight to ten hours, typically business hours with some flexibility for contractor visits and out-of-hours emergencies. The shift includes help desk triage, dispatching contractors and engineers, follow-up on outstanding tickets, planned maintenance schedule management, RAMS and permit-to-work paperwork, project support for the FM Manager, and closing the day with a clean ticket list and handover to the on-call team.

  • FM help desk or coordination experience, confirmed by reference
  • Right to work in the UK
  • Confidence with CAFM systems, such as Concept Evolution, Maximo, Planon, Elogbooks or similar
  • Strong written English and a composed telephone manner
  • RAMS, permit-to-work and contractor management awareness
  • Comfortable with multiple competing priorities and a steady stream of help desk traffic
  • IOSH Working Safely or equivalent preferred, with training support available

  • A direct path into Assistant FM, Facilities Manager and Contract Manager roles
